Pre-Contract (After Listing Agreement is Signed)
- Prepare Listing Agreement (additional charge)
- Input listing details into the MLS if needed (additional charge)
- Order the preliminary title report (if applicable)
- Order Natural Hazard Disclosure Report (if applicable)
- Prepare and distribute required seller disclosures
- Ensure all listing documents are complete and compliant
- Upload all documents to the company's transaction management system
Once the Property Goes Under Contract
- Open escrow and submit the purchase agreement to escrow
- Change MLS status to Active-Contract
- Send introduction email to all
- Distribute the fully executed contract to all parties involved
- Send calendar invites for contingency dates
- Confirm earnest money sent to escrow
- Remind/Schedule Agent & Seller about Home Inspection
- Ensure all required documents and disclosures are signed and returned in a timely manner
- Schedule/Remind Retrofit Inspection with Agent/Seller
- Coordinate the timeline to ensure all contingencies are removed on schedule
- Change MLS status to Pending after contingencies are removed
- Schedule/Remind final walkthrough with Buyer/Agent
- Prepare the transaction file for brokerage compliance and final audit
- Ask Escrow for Estimated Closing Statement
- Ensure that commission instructions are properly sent and acknowledged
- Confirm successful closing and provide the agent with a complete file copy
- Confirm commission details; send to agent for review
- Remind agent to review Final Closing Statement
Final Steps
- Upload all documents to the company's transaction management system
- Send completed file to sellers and agent
- Send out congratulations to agent and seller
- Change MLS status to SOLD
- Ask client for a review for the agent
BUYER SIDE

Once the Purchase Agreement is Accepted
- Open escrow
- Send introduction email to buyers, agent, and escrow
- Upload all documents to the company's transaction management system
- Distribute the fully executed contract to all parties involved (if needed)
- Send calendar invites for contingency dates
- Remind buyer to send earnest money to escrow
Under Contract
- Remind agent and buyer about scheduling the home inspection
- Agent prepares repair addendum
- Send repair addendum for signatures
- Confirm repair addendum is signed by all parties (track due date)
- Confirm all repairs are completed
- Ensure all required documents and disclosures are signed and returned in a timely manner
- Coordinate the timeline to ensure all contingencies are removed on schedule
- Order home warranty
- Schedule or remind final walkthrough with seller and agent
- Prepare the transaction file for brokerage compliance and final audit
- Ask escrow for buyer’s estimated closing statement
- Ensure that commission instructions are properly sent and acknowledged
- Confirm successful closing and provide the agent with a complete file copy
- Confirm commission details and send to agent for review
- Remind agent to review Buyers final closing statement
Final Steps
- Send email to buyers to transfer utilities
- Upload all documents to the company's transaction management system
- Send completed file to agent and buyers
- Send out congratulations to agent and buyers
- Ask client for a review for the agent
